Privacy Policy

1. Who we are
Kavanah Tech is a division of Kavanah Media, a Tennessee nonprofit corporation and Section 501(c)(3) tax-exempt organization (“Kavanah Media,” “we,” “us”). This policy covers the kavanah.tech website and the services we offer through it: Kavanah Analytics, Kavanah Chat, Kavanah Social, Risk Management (from Kavanah Security, another division of Kavanah Media) and Kavanah Hosting (together, the “Services”).
Kavanah Analytics has its own, more detailed privacy policy, including exactly what it reads from Meta and Google. Where that policy is more specific than this one, it applies to Kavanah Analytics.
2. This website
The contact form
When you send the form, we receive your name, email address, organization (if you give one), the products you tick and your message. It is delivered to our team by email. We use it only to answer you and to follow up on what you asked about, and we keep it for as long as that conversation is useful. Ask us at any time and we will delete it.
No cookies, analytics or tracking
kavanah.tech sets no cookies, uses no analytics, advertising or tracking tools, and loads nothing from other companies’ servers: its pages, images and fonts all come from kavanah.tech itself.
Server logs
Like any website, our server records basic request information (IP address, browser type, the page requested and the time) to keep the site secure and working. These logs are kept for a short period and are not used to build profiles of visitors.
3. In our products: whose data it is
When your organization uses the Services, the information you put in, and the information you connect from your own accounts, belongs to your organization. For that information we act as your processor: we hold and process it only to provide the Services to you, under your instructions. Your organization is the controller and decides who on your team can see what.
For your team’s own account details (names, email addresses, sign-in records), and for the contact form on this site, Kavanah Media is the controller.
4. What each product holds
- All products. Account details for the people on your team: name, email address, role and sign-in records. Passwords are stored only in hashed form. When you connect a platform such as Facebook, Instagram or Google, you sign in through that platform’s own window; we never see or store your password for it, only the access it grants.
- Kavanah Analytics. Read-only performance data from the accounts you connect (for example Meta, YouTube, Google Ads, GA4, Chatwoot, Echo and Disciple.Tools) and the dashboards and reports you build. Full detail is in its privacy policy.
- Kavanah Chat. The conversations that reach your inboxes: messages, attachments and the name and profile details the messaging platform shares about each person who writes to you, plus your team’s notes, labels and assignments. These are messages from the people your team serves, so we treat them as the most sensitive information we hold. Attachments are kept in private, encrypted storage.
- Kavanah Social. The posts, drafts and media your team creates and schedules, and the connections to the channels you publish to.
- Risk Management. Your answers to the assessment, your organization’s declared risk tolerance, and the reports produced from them. By design, the platform never stores the names or locations of the local people your teams work with.
- Kavanah Hosting. Your website’s files and database, and the server and security logs needed to run and protect it. Your site’s own visitors are covered by your site’s privacy policy; for their information we act as your processor.
5. How we use information
- To provide the Services: sign you in, deliver messages and posts, build reports, and host your sites.
- To keep the Services secure and reliable: detect abuse, fix problems, keep backups and keep audit records.
- To support you, and to tell you about things that affect your account, such as security notices or changes to our terms.
- To meet legal obligations and respond to lawful requests.
We do not sell personal information, use it for advertising, or use one organization’s data for any other organization.
6. Who else is involved
- Your own team. Information is visible to the people in your organization according to the roles your administrators give them.
- Our infrastructure providers. Our servers, storage and backups run on Amazon Web Services in the United States, and we send email through a mail delivery service. These providers process information only to provide their services to us.
- The platforms you connect. Facebook, Instagram, Google and the other platforms you choose to connect are your own accounts. When you send a reply in Kavanah Chat or publish a post in Kavanah Social, it goes to that platform because you asked it to, and the platform handles it under its own terms.
- Legal and safety. When the law requires it, to enforce our terms, or to protect people’s safety. Given the places our users work, we will resist any request that could endanger someone, to the extent the law allows.
7. How long we keep it
We keep information for as long as your organization uses the Service it belongs to, and for as long as we need it to provide that Service, keep it secure, or meet legal obligations. When your organization closes an account, we delete its data from the live service; copies in backups expire on their normal schedule. Kavanah Analytics publishes its specific retention periods in its privacy policy.
8. Your choices and rights
You can ask us to access, correct, export or delete your personal information, or to restrict or object to how we use it. If the information belongs to an organization’s account (for example, messages in a team’s Kavanah Chat inbox), we will work with that organization, as the controller, to respond. Email privacy@kavanahanalytics.com; we generally respond within 30 days and may need to confirm who you are first. Depending on where you live, you may also complain to your data protection authority.
9. Security
We manage our servers on Amazon Web Services ourselves, isolate each service, patch on a schedule, back up nightly, encrypt data in transit and at rest in every product, and scope access to the people who need it. Our Security page explains how in plain English. If we learn of a breach that affects your information, we will tell you as the law requires.
10. Children
The Services are for adults working in or with mission organizations. They are not directed at children under 13, and we do not knowingly collect their information. If you believe a child has given us information, contact us and we will delete it.
11. International transfers
We operate from the United States, and the Services store information in the United States. If you use them from elsewhere, your information is transferred to and processed in the United States, with appropriate safeguards where the law requires them.
12. Changes
If we change this policy, we will update the date at the top, and for material changes we will give notice, for example by email or in the product.
